Downtown Guesthouse is a limited company, registered in the Trade and Companies register under the name Downtown Guesthouse, kennitala no. 123456789, headquartered at Lækjargata 6B, 101 Reykjavik, Iceland.
Preamble
- Before ordering services, customers state that the reservation of these services is for their own personal use.
- As consumers, customers have specific rights, which would be called into question in the event of the services reserved being used for the purpose of their commercial, industrial, business, professional or agricultural activities.
- Customers confirm that they have full legal capacity to commit to these terms and conditions.
- Customers agree to the Downtown Guesthouse terms and conditions of sale and the conditions of sale for the rate reserved at the time of reservation; no reservation is possible without this agreement.
- Customers have the option of saving and editing these terms and conditions by using the standard functions on their browser or computer.
Downtown Guesthouse publishes and operates the downtownguesthouse.is website and the mobile service. The Website and Mobile Services enable users to reserve rooms at Downtown Guesthouse.
Other services can be reserved through the Website or Mobile Services with partners of Downtown Guesthouse. Reservations are made directly between the customer and the partners of Downtown Guesthouse.
The customer confirms having received from Downtown Guesthouse all the necessary information on the Website or Mobile Services.
All reservations made via the Website or Mobile Services imply consultation and full and unreserved acceptance of these terms and conditions and the conditions of sale for the rate reserved.
On the Website you can find the main features of the accommodation offered, additional services offered, prices, payment methods, general terms and conditions of sale and conditions of sale for the rate reserved, validity of the offer and its price, minimum length of the proposed contract, if applicable and methods of payment accepted. The main features of the accommodation offered, prices and available dates of the accommodation are shown during the reservation process.
Downtown Guesthouse concludes partnership contracts with third-party travel websites. These partnerships are intended to allow the customer to search, select, and reserve rooms by using partner services on partner Websites and Mobile Services, without leaving the interface of the partner Website or Mobile Services, but directly with Downtown Guesthouse. Any reservation of rooms at Downtown Guesthouse, via the Website or Mobile Services of a Partner requires consultation and complete, unconditional acceptance of these specific partner terms and conditions, the conditions of sale for the rate reserved and the Downtown Guesthouse terms and conditions of sale.
1. Definitions
The terms used in this document are defined as follows:
– “Our company”, “the hostel”, “us”, “we” or “our” means Downtown Guesthouse, the limited liability company HAG fasteignir incorporated under the laws of Iceland.
– “acknowledgment of receipt”: Email sent by the Downtown Guesthouse Website or Mobile Services to the customer summarizing the customer’s reservation and confirming its receipt by the Downtown Guesthouse,Website or Mobile Services.
For the partner services, this means the email sent by Downtown Guesthouse to the customer summarizing the reservation made by the customer via the service available on a partner’s Website or Mobile Services, and confirming its receipt by Downtown Guesthouse.
– “conditions of sale for the rate reserved”: Specific conditions for each reservation made by the client, relating to the payment of the reservation, and whether or not the reservation can be modified or cancelled.
– “confirmation of booking”: Virtual document summarising the services reserved by the customer on the Website or via the Mobile Services, and possibly stating the customer’s bank card number in the context of a prepayment or guarantee. Acceptance of the reservation confirmation by the customer constitutes a contractual commitment.
– “customer”, “guest” or “you”: Any individual acting for purposes that do not fall within the context of his commercial, industrial, business, professional or agricultural activity.
– “email”: Any message, in text, voice, sound, or image format, sent by a public communication network and stored on a network server or in the recipient’s workstation equipment until it is retrieved by said recipient.
– “reservation request”: Request for a hotel room reservation submitted by the customer via the Website or Mobile Services of Downtown Guesthouse or its partners.
– “partners”: Providers of services available through the Downtown Guesthouse Website or Mobile Services and/or enabling users to access the Website or Mobile Services via their own websites, mobile services or any other tool, including in particular, tour operators, car rental companies, train and plane ticket providers and price comparison websites.
– “online reservation”: Reservation of hotel rooms through the virtual reservation form on the Website or Mobile Services of Downtown Guesthouse or its partners.
– “service”: Reservation of hotel rooms whose main features are given on Downtown Guesthouse Website or Mobile Services.
– “partner service”: Reservation of hotel rooms whose main features are given on the hotel listings available on the Website, Mobile Services and/or any other tool of its partners.
– “Mobile Services”: All services and protocols making it possible to connect mobile terminals to the Internet, and in particular, enabling consultation and reservation of hotel services supplied by Downtown Guesthouse.
– “Website”: Electronic service operated by Downtown Guesthouse on the Internet, available at downtownguesthouse.is .
2. Subject
These terms and conditions define the rights and obligations of the parties within the scope of the remote reservation of services offered by Downtown Guesthouse and its partners through the Website and Mobile Services.
They cover all stages required for reservation and post-reservation between the contracting parties.
Customers acknowledge having read and accepted these terms and conditions of sale and the conditions of sale of the rate reserved, available on the Website and Mobile Services. These terms and conditions also include the Privacy Policy.
3. Scope of application
These terms and conditions of sale apply to all reservations made on the Internet, via the Website or Mobile Services of Downtown Guesthouse and its partners.
In any instance, the customer-binding version of the terms and conditions of sale is the one in force at the time of reservation on Websites or Mobile Services.
4. Duration
These terms and conditions of sale apply to all reservations made on the Internet, via the Website or Mobile Services of Downtown Guesthouse and its partners.
5. Reservations
Customers select the services displayed on the Website or Mobile Services of Downtown Guesthouse or its partners.
Customers confirm that they are aware of the nature, purpose and reservation methods of the services available on the Downtown Guesthouse or partner Website or Mobile Services and have requested and obtained the necessary and/or supplementary information needed to make the reservation in full knowledge of the facts.
On the Website and Mobile Services, customers can reserve, as individuals and for their own personal requirements, a maximum of four (4) rooms per reservation.
For reservations relating to personal/business groups, meetings, seminars, etc… or for more than four (4) rooms, the customer needs to contact Downtown Guesthouse by email at info@downtownguesthouse.is Specific conditions and extra charge may applied.
Customers are solely responsible for their choice of services and the suitability of those services for their needs. Downtown Guesthouse cannot be held responsible in this respect.
The reservation is deemed to have been accepted by the customer at the end of the reservation process.
6. Reservation process
On Downtown Guesthouse Website or Mobile Services , it is possible to make a booking 24 hours a day, 7 days a week. You can also send a booking request by email at info@downtownguesthouse.is
Reservations by customers are made using the virtual reservation form available online. A reservation is deemed to have been made on receipt by Downtown Guesthouse Website of the reservation form or reservation request, or when an online prepayment is made by bank card.
Prior to any reservation, customers must complete the information required on the reservation form or request. Customers attest to the truth and accuracy of the information submitted.
The reservation process includes the following main steps:
– Step 1: Finding a room and selecting rate.
– Step 2: Selecting, where applicable, one or more supplementary services
– Step 3: Checking the reservation details, total price and applicable terms and conditions of sale, and making any necessary changes to the selection (room, rate, supplementary services), in the case of online reservations only.
– Step 4: Completing the customer’s details.
– Step 5: Entering credit card details in the case of guarantee request or prepayment.
– Step 6: Consulting and accepting the terms and conditions of sale and the conditions of sale for the rate reserved before confirming the reservation.
– Step 7: Reservation confirmation by the customer.
7. Reservation acknowledgment of receipt
The Website and Mobile Services of Downtown Guesthouse or its partners acknowledge receipt of the customer’s reservation by immediately sending an email to the customer at the email address they have previously entered.
For online reservations, the emailed acknowledgment of receipt of the reservation summarizes the contract offer, services reserved, prices, conditions of sale accepted by the customer relating to the rate selected, date of reservation, information relating to the after-sales service.
The customer has at any time the ability to identify and correct a possible data errors. When the customer find an error after the conclusion of the contract, he must contact us (“contact” section) within 24 hours after the confirmation of your order.
Downtown Guesthouse cannot be held responsible for possible errors of data-entry and the consequences in terms of delay, extra costs… In this context, all the expenses engaged will be the responsibility of the customer.
8. Cancellation or modification by the customer
Customers are reminded that they have no right of withdrawal. The conditions of sale for the rate reserved specify the terms for cancelling and/or changing the reservation.
Reservations with prepayment cannot be changed and/or cancelled in any way, and sums paid in advance as a deposit cannot be refunded. This is indicated in the conditions of sale for the rate.
When permitted by the conditions of sale for the rate reserved, reservations can be canceled upon two days before arrival directly on the Website or Mobile Services or by contacting us by email at info@downtownguesthouse.is.
In case of a late cancellation (two days before arrival or less) or in case of a no-show, the full agreed price of the booking will be charged.
If the stay is terminated early by the customer, the full agreed price will be paid. In the case of reservation with prepayment, no refund will be made for this reason.
Unless expressly stated otherwise, customers must vacate their room before 11:00 on the final day of the reservation. Failing this, an additional night will be charged.
Reservations are personal and can in no case be transferred to a third party, whether free, at a cost, or for commercial purposes.
9. Prices
Prices relating to the reservation of services are indicated before and during reservation. Prices shown are per room for the number of person(s) and date selected.
Prices are confirmed to the customer inclusive of all taxes in the commercial currency of the hostel and are valid only for the period stated on the Website or Mobile Services.
If payment to the hostel is made in a currency other than the currency confirmed on the reservation, the customer is liable for the exchange fees.
All reservations, regardless of their origin, are payable in the hostel’s local currency (ISK – Icelandic Krona) unless specifically indicated otherwise at the hostel.
Unless stated otherwise on the Website, additional services (breakfast, etc.) are not included in the price.
Prices are inclusive of VAT applicable on the day of reservation and any change to the applicable VAT rate will be automatically reflected in the prices shown on the date of billing.
Any change or introduction of new legal or regulatory taxes imposed by the competent authorities will be automatically reflected in the prices shown on the date of billing.
Conversion into foreign currency is given as an indication and is non-contractual. If the currency is different from the one used in the hostel (ISK), possible exchange fees will remain the customer’s responsibility.
If a rate states that payment is to be made on arrival at the hostel or departure from the hostel, and the customer’s currency is not the same as that of the hostel, the rate debited by the hostel may differ from that indicated when the reservation was made, on account of a possible difference between the exchange rate on the date of reservation and the dates of the hostel stay.
Rates may be increased by different taxes according to city/country. Customers undertake to pay the various taxes, without complaint to Downtown Guesthouse.
Certain promotional offers available on the Internet are sold exclusively on the Internet, that is, remotely and in no circumstance at the front desk of the hostel.
10. Payment
Customers provide their bank details as a guarantee of the reservation except where special conditions or rates apply, using a credit card or charge card (Visa, MasterCard, American Express, etc.), indicating directly in the area provided for this purpose (secure entry by SSL encryption) the card number without spaces, the expiration date (the card used must be valid at the time of the stay) and the card security code in the relevant fields (secure entry by SSL encryption) as prepayment. The hostel can also ask for a piece of identification in order to prevent bank card fraud.
Payment is debited at the arrival, at the beginning of a stay at the hostel, except in the case of special conditions or rates when payment is made at the time of reservation (online prepayment on certain rates). This prepayment serves as a deposit. In the case of a rate not prepaid online, the hostel may ask the customer on arrival for a deposit or an authorization to debit the credit card, in order to guarantee payment of the amounts corresponding to the services provided by the hotel.
In the event of a no-show (reservation not canceled – customer fails to arrive) when a reservation has been guaranteed by credit card, the hostel will debit the full amount of the booking from the customer’s credit card that was given to guarantee the reservation.
If a customer reserves several rooms, but prepayment is required for only one of these rooms, for example, the payment card used will serve as a guarantee for the other rooms.
At the time of prepayment, the amount debited for the reservation includes the price of accommodation, taxes related to the accommodation, the price of meals if breakfast is selected, taxes related to meals and any other supplementary services selected by the customer.
In the case of a rate subject to prepayment online, the amount paid in advance, namely the deposit, is debited at the time of reservation.
11. Group Booking
All bookings made for 4 or more rooms are considered like a group booking.
This condition apply if the booking is made directly with the hostel or on a partner website.
Specific conditions apply:
To confirm a group booking, we kindly request the payment of a deposit of 50% of the total amount of the booking.
A group booking will be confirmed only at the reception of the deposit payment.
It is possible to pay it by bank transfer or by credit card. We will give you all instructions and make a invoice with the payment details.
This deposit is non refundable in case of modification or cancellation.
The second part of the payment needs to be done 7 days before arrival.
We also request a rooming list with the name of all participants and the rooms repartition at least 2 days before arrival.

12. Hostel stay
Check-in time is from 14:00 (2 pm).
Check-out time is until 11:00 (11 am).
In application of Icelandic laws, customers may be asked on arrival at the hostel to provide a passport or identity document and to fill out a check-in slip with personal information for registration.
Downtown Guesthouse is composed of 3 different houses. Rooms booked can be located in any of our buildings.
Room number and location of the room will be given at the check-in according to our availability and the kind of room booked.
From 1st October to 30th April, the reception is open from 8:00 to 16:00.
From 1st May to 30th September, the reception is open from 8:00 to 22:00.
For a check-in after reception opening time, the customer needs to contact our team at info@downtownguesthouse.is before arrival to know all instructions to make a self check-in and to know how to get the key of the room.
When reception is closed, in case of emergency, it is possible to contact our team by phone at this number : (+354) 611 5554.
During the stay, if the customer forget the key inside the room, lose/damage the key or if the customer needs assistance to open the room door after reception opening time, an extra charge of 5.000 ISK may be applied.
Customers agree and undertake to use their room responsibly. Therefore, any conduct contrary to accepted standards of behavior and public order will result in the hotelier asking the customer to leave the hostel with no compensation and/or refund.
The customer is responsible for the storage of the property and equipment brought by itself and shall personally deal with taking out all insurance policies (damage – civil liability) that it deems necessary, especially for the booking in mixed dormitory.
An extra charge from 10.000 ISK may be charged to the customer for any direct or indirect damages caused by the customer resulting from the partial or total destruction of all equipment, furniture, values, goods of the Downtown Guesthouse.
Smoking in public places, such as hostels, is strictly and legally forbidden in Iceland. In the event that a customer fails to respect this law, Downtown Guesthouse will be obliged to ask the customer to leave the hostel with no compensation and/or refund and an extra charge of 5.000 ISK will be applied and charged on the card provided as guarantee.
Pets are not allowed at Downtown Guesthouse.
Downtown Guesthouse offers WIFI access that allows customers to connect to the Internet. Customers undertake to ensure that computing resources made available to them by the hostel are not used in any way for reproduction, representation, provision or communication to the public of works or objects protected by copyright or a related right, such as texts, images, photographs, musical works, audiovisual works, software or video games, without the authorization of the copyright holder. Customers who do not comply with the above obligations risk being found guilty of infringement of copyright laws. Customers are also required to comply with the security policy of the hostel’s Internet service provider, and with the rules for the use of security resources whose purpose is to prevent the illicit use of computing resources, and to refrain from any act that might undermine the effectiveness of these resources.
13. Relocation & force majeure
In the event of unavailability of a room, in case of technical problem, in case of a force majeure event, or for any reason whatsoever, the hostel reserves the possibility of accommodating the customer totally or partially in a hotel of equivalent category for the same type of services. Any additional cost of the room, transport between the two hostels or telephone calls remain the responsibility of Downtown Guesthouse.
Force majeure is understood to be any event beyond the control of the Parties of an unpredictable and insurmountable nature that prevents either the customer or the hostel from fulfilling all or part of the obligations set out in the contract. Cases of force majeure or fortuitous events are considered to be those that would usually be recognized by the public authorities such as hostilities, war, act of State, act of Mother Nature, flood, lightening strike, etc… The parties shall make every effort to prevent or reduce the effects of the non-performance of the agreement due to a force majeure event. Neither party will be liable to the other party in the event of a breach of its obligations resulting from an event of force majeure. It is expressly agreed that force majeure suspends, for the parties, the execution of their reciprocal obligations and that each party shall bear the burden of the resulting costs.
14. Complaints
At Downtown Guesthouse, we try to do our best to satisfy our customers. But if for some reason you are not satisfied with our services, our team is available to handle any complaints relating to a booking or a stay. Please contact us by email at info@downtownguesthouse.is or on our contact page as soon as possible, not more than 20 days after departure from Iceland. If complaints have not been placed within that time frame, compensation rights is not valid.
15. Agreement
Photographs displayed on the Website and Mobile Services of Downtown Guesthouse or its partners are merely indicative. Although every effort is made to ensure that photographs, graphic images and text used to illustrate the hostel provide as accurate an impression as possible of the accommodation offered, variations may occur, in particular as a result of changes to furniture or possible renovations.
Downtown Guesthouse cannot be held responsible for the non-fulfillment or inadequate fulfillment of the reservation in cases of force majeure, unpredictable or insurmountable actions of third parties, or actions of customers, in particular the non-availability of the Internet network, inability of accessing the Website, external intrusion, computer viruses, or non-authorized prepayment by the card holder’s bank.
Hyperlinks may link to sites other than the Downtown Guesthouse Website or Mobile Services. Downtown Guesthouse accepts no responsibility for the content of these websites or the services offered on them.
Any reservation or payment that is irregular, ineffective, incomplete, or fraudulent for any reason attributable to the customer will result in the cancellation of the order at the customer’s expense, without prejudice to any civil or criminal action brought against the customer.
In addition to the preceding provisions, it is noted that partners are responsible for the promotion of the offers published on their own websites, mobile services and/or any other tool for accessing the website and/or mobile services.
Downtown Guesthouse ensures the archiving of the written document confirming the conclusion of any contract from the time of the conclusion of the contract and until services have been provided, for a period of five (5) years, and guarantees access to this document at any time during this period. Contractual documents will be archived in electronic format or paper format.

Entry of the necessary banking details, along with the acceptance of these terms and conditions, conditions of sale for the rate reserved and the reservation form or request, as well as any specific Downtown Guesthouse conditions by email constitute an electronic signature equivalent in value to a physical signature on paper between the parties.
The Downtown Guesthouse terms and conditions of sale are governed by Icelandic law without obstructing the mandatory protective provisions that may be applicable in the consumer’s country of residence.
No general or specific condition communicated by the customer can be incorporated into these terms and conditions.
The documents constituting the contractual obligations between the parties are, in descending order of priority, the reservation form or request (covering the specific conditions of the rate reserved) and these terms and conditions.
In the event of contradiction between the general terms and conditions or the terms and conditions for the use of the Website or Mobile Services, or a partner’s terms and conditions of sale and these Downtown Guesthouse terms and conditions of sale, only the provisions hereof will apply for the obligation in question.
If one or more stipulations of the Downtown Guesthouse terms and conditions of sale are held to be invalid or are found to be so under the application of a law or regulation or following a definitive decision by a court of law with the appropriate jurisdiction, the other stipulations maintain their validity and their scope.
These terms and conditions of online sale may be modified and/or supplemented at any time by Downtown Guesthouse. In this case, the new version of the terms and conditions of online sale will be put online by Downtown Guesthouse and will automatically apply for all customers with immediate effect, except for reservations made prior to the date on which the conditions were published online, for which the previous accepted version of the terms and conditions remain applicable. Customers should also consult the supplementary terms and conditions of sale related to each rate, room type or service type shown on the price list.
